Notion Mail Migration Checklist: Move Before September 22
A practical Notion Mail exit list: export by September 21, confirm Gmail, recreate snippets and labels, then pick a client that still ships.

This is the operational companion to the shutdown explainer. Notion’s official next-steps page is the source of truth. Use this list so you do not discover a missing draft on September 23.
Before you switch
- Confirm you can still open Notion Mail on web or desktop. Export tools opened June 25, 2026.
- Write down which Google account you used. Notion Mail was Gmail-backed.
- If you are in a HIPAA or other regulated setup, your org may have already forced an earlier exit. Ask admin, do not assume September 22.
Export pass
Work top to bottom. Notion names these explicitly.
- Drafts. Open Drafts. Copy anything unsent into Gmail drafts, or send it, or delete it on purpose. Unexported drafts are deleted on September 22.
- Scheduled emails. Move them to Gmail scheduled send, or send now. A scheduled send that lives only in Notion Mail will not fire after shutdown.
- Snippets. Export snippet text. Open Settings → Snippets and download attached files separately. Notion says those files do not ride along.
- Auto-label instructions. Save the text of the rules to a Notion page or a plain file. You will not get the same engine elsewhere; you will get the intent.
- Reminders. Notion Mail reminders do not transfer. Recreate the ones you still care about in the next client, or in a Waiting On list.
Do this on September 21 at the latest. Earlier is better. There is no grace period in the help article.
Gmail sanity check
In Gmail:
- Search a thread you only remember sending from Notion Mail. It should be in Sent.
- Check labels you relied on. Mail is there; the Notion view that grouped it is not.
- Turn on Gmail keyboard shortcuts if you used keys in Notion Mail: see Gmail’s shortcut list.
- Glance at Filters and Blocked Addresses. Those are Gmail, not Notion, and they survive.
If a message is missing, it was never synced — rare — or you are in the wrong Google account.
Rebuild the workflow
Notion Mail’s custom views die. Recreate the jobs, not the pixels.
- Triage. One archive key, or Gmail’s
e. Do not rebuild seven smart views on day one. - Follow-ups. Stars are a junk drawer. Use a dedicated waiting list or a reminder. How we think about that.
- Snippets. Paste the exported text into the next client’s templates, or into a notes doc until the new app exists.
- Labels. If auto-label instructions mattered, turn the important ones into Gmail filters, or into an agent later. Notion says a Custom Agent with Gmail access can approximate this after shutdown.
Existing Notion databases of synced mail remain as a historical view. They will not update after September 22. Do not use them as the live inbox.
Pick the next client
You have four honest shapes:
- Stay in Gmail. Zero install. Good enough for many people.
- Native Mac Gmail today. Mimestream or Apple Mail.

Do not pick the client until the export pass is done. A pretty inbox will not resurrect a draft you left in Notion Mail.
