Manage Multiple Gmail Accounts on Mac Without Tab Chaos

Work, side project, personal. How unified inboxes, account chords, and one search box beat three Gmail tabs on a Mac.

Two Gmail tabs is a workflow. Five is a coping mechanism. The Mac already knows how to run multiple windows. Email clients keep making you log in again.

The tab tax

Google’s own multi-account sign-in works. It also loses which account a compose window belongs to, and it never gives you one search box across work and personal.

The tax is not logging in. The tax is:

  • Searching the wrong property.
  • Sending as the founder address from the side-project tab.
  • Badge counts you no longer trust.

A unified client is cheaper than another Chrome profile.

Unified versus separate

Unified inbox — one list, every account. Best for triage. Dangerous for send-as if the composer is sloppy about identity.

Separate accounts, instant switch — Command-1 for work, Command-2 for personal. Best when the contexts must not mix.

The grown-up answer is both: unify for reading, chord for writing. Vithos does that; Superhuman has historically kept accounts more separate. Mimestream is Gmail-native and handles several accounts without pretending they are one person.

Switching without thinking

If switching accounts needs a menu, you will not switch; you will guess. Requirements:

  • Visible current identity in the composer. Always.
  • Keys for account jump (⌘1–9 or equivalent).
  • Search that can scope to one account or all.
  • Offline that works per account, not only for the one you opened last. Local-first.

Notifications should be configurable per account or you will mute the whole app.

A setup that holds

A setup that survives a year:

  1. Work Workspace + personal Gmail in one client. Leave the old university account in the Gmail tab until it goes quiet.
  2. Unified list in the morning. Account-scoped when you write anything legal or financial.
  3. One search habit across both, with from: when it matters.
  4. Waiting On per human, not per account — a reply is a reply. Follow-ups.
